FIXED SCOPE · FIXED PRICE

The Front Door. Nobody falls through.

Every new person who reaches your organisation gets a real response within minutes, goes to the right human, and cannot be forgotten afterwards.

The problem

The gap between hello and a real conversation

Someone reaches out. Then one of three things happens.

01

Nobody responds for two days, and they have moved on.

02

Someone responds, but nobody records it, so the follow-up never happens.

03

It goes to the wrong person, and the one who should have handled it never knows.

Every organisation loses people in that gap

The work of getting someone to raise their hand is expensive. The work of losing them afterwards is free.

What it does

Seven parts, and every build gets all seven

This is a template, not a menu. That is exactly what keeps it fast to install and predictable to run.

1

Intake

Every way a new person can reach you feeds one place — web form, phone, SMS, WhatsApp, Instagram and Facebook messages, QR codes for events and print, and manual entry for walk-ins.

2

Instant first response

An AI assistant makes contact within minutes, by call, text or message. It introduces your organisation and asks the two or three questions you need answered before a human gets involved. It works at 3am, on weekends, and during your busiest hour.

3

Rules-based routing

The response and the assignment follow your rules, not ours. Route by gender, language, location, service needed, urgency, or any combination. The person hears from someone appropriate, the first time.

4

Flags

Some answers need a human immediately — a safeguarding concern, a vulnerable person, an urgent case, a high-value enquiry. Those raise a flag and alert a named person straight away, instead of sitting in a queue.

5

Assignment and accountability

Each new person is assigned to a specific staff member, volunteer or mentor, and that assignment is tracked. If nobody makes contact inside your agreed window, it escalates automatically to a supervisor.

6

Follow-through

Scheduled check-ins at the intervals you set — day 3, week 2, month 1, or whatever your process is. Automatic, logged, and stopped the moment a human takes over.

7

Weekly leadership report

One email a week to whoever runs the place. How many new people came in, where from, how fast they were contacted, who is falling behind, and what needs attention. Written for a board or a committee, not for a technician.

Configurations

The same seven parts, in different words

What changes between organisations is the vocabulary, the routing rules and the questions asked. The system underneath is identical — which is why it installs in weeks instead of months.

OrganisationThe new personWhat routing decidesWhat gets flagged
Faith & communityA new member, convert or enquirerGender, language, nearest branchSafeguarding, vulnerability, urgent pastoral need
Schools & collegesA prospective familyYear level, campus, languageSpecial needs, scholarship enquiry, urgent placement
Charities & not-for-profitsA beneficiary, donor or volunteerService needed, location, eligibilityRisk, crisis, major-donor enquiry
Clinics & allied healthA prospective patientPractitioner, gender preference, urgencyClinical red flags, urgent triage
Member associationsA prospective memberMembership category, chapterComplaint, lapsed high-value member
Service businessesA new leadService line, territory, job sizeHigh-value job, complaint, urgent request

If your organisation is not on this list, it will still fit. The seven parts do not change.

Our guarantee

We stay until it works

Your rules One point of contact Scripts approved in 5 working days

If your system is not live and working by the date we agree, we keep working for free until it is.

We do not offer a money-back guarantee, and we will tell you why: we do the work up front, so refunding it would mean paying to build your system. What we will do instead is stay.

How it runs

Usually live within a month of starting

Week 1

Rules

One session. We map how a new person should be handled, who they go to, what gets flagged, and what your weekly report needs to show.

Weeks 2–3

Build

We build and configure it. You approve the scripts.

Week 3

Test

We run real cases through it with you watching, and fix what needs fixing.

Week 4

Train and go live

One session with your team, recorded so new staff can watch it later. Then it is on.

Month after

Support

We watch it closely and adjust.

The only thing that moves this date is how quickly you approve the scripts. That is why it is in the guarantee.

What is not included

So nobody is disappointed later

×Custom software development outside the seven parts
×Migrating your historical records from another system — quoted separately
×Ongoing content, marketing or campaign work
×Answering enquiries on your behalf. The system routes to your people; it does not replace them
×Anything that requires changing the seven parts

If you need something outside this, we will quote it separately — or tell you honestly that we are not the right people.

iERA Australia · New Muslim Support

Where a missed follow-up is not a lost sale, but a person left without support.

When someone becomes Muslim anywhere in Australia and iERA hears about it, they now get a warm phone call, a gift, a human appointment and weeks of gentle follow-up — automatically, in the right gender lane, in the right time zone, with safeguarding and compliance handled underneath.

Three automated weekly reports land in coordinators' inboxes: new Muslim support on Mondays, volunteers on Fridays, mentors on Sundays. The system went live on schedule, and other organisations have already approached iERA asking about it.

“I really appreciate all the effort you've been putting into this project. Alhamdulillah, we're already starting to see the fruits of it… having this system in place is making that possible at scale, and you've been a big part of making it happen.”
